1. Information you provide

We collect contact and account information, business and selling-channel details, membership application answers, addresses, communications, request and quote details, transaction records, and documents you choose or are asked to provide, such as resale or business verification records.

Do not send payment-card details, government identification, or other sensitive information through an ordinary message unless the interface specifically requests it through an approved secure method.

2. Information collected through use

When you use the site, we may receive device and browser information, IP address, approximate location derived from IP, timestamps, referring pages, pages and features used, session and security events, cookie identifiers, and diagnostic data. We also keep records needed to maintain carts, sessions, access decisions, and audit trails.

3. Information from other sources

We may receive information from the business you represent, its account administrators, payment and fraud-prevention providers, carriers, suppliers involved in a request, public business records, and selling platforms or social profiles you identify in an application.

4. How we use information

We use information to review membership, authenticate users, maintain company permissions, provide catalog and request features, prepare quotes and invoices, process and reconcile payments, coordinate sourcing and fulfillment, handle support and claims, communicate transaction updates, protect the service, prevent fraud, keep required records, and improve reliability and usability.

If we introduce optional promotional messages, we will provide the choices required by applicable law. Transactional, security, and account messages may still be necessary to provide the service.

5. How we share information

We share only what is reasonably needed with providers that support hosting, infrastructure, analytics, communications, payments, fraud prevention, document storage, sourcing, inspection, shipping, professional advice, and customer support. Payment providers handle payment credentials under their own privacy terms; PHX Distribution should not store full card numbers.

We may also share information when directed by the business account, in connection with a corporate transaction, to protect rights and safety, or when required by legal process. We do not sell personal information for money. Counsel must confirm whether any current advertising or analytics practice is considered a sale or sharing under a jurisdiction's broader definition.

6. Cookies and analytics

The site uses cookies or similar storage for authentication, security, cart continuity, regional routing, and short-lived membership status caching. We also use service analytics to understand site performance and feature use. Browser controls can block some storage, but essential account and request functions may then stop working.

7. Retention

Retention depends on why the information is held. Account and application records are kept while needed to manage access; quote, payment, tax, shipping, and dispute records may be retained for contractual, accounting, fraud-prevention, or legal periods; security logs and analytics may use shorter operational periods. We delete or de-identify information when it is no longer needed, subject to backups, legal holds, and required records.

8. Security

We use administrative and technical safeguards intended to protect information, including restricted member access and private handling of business documents. No internet service is risk-free. Use a unique password, protect your devices, sign out on shared devices, and report unexpected account activity or payment instructions promptly.

9. Your choices and requests

You can update certain profile and company information through the account interface. Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information, or to appeal a response. We may need to verify identity and business authority and may retain information where an exception or legal obligation applies.

Submit a privacy request through your account or the contact shown on your quote or invoice. Describe the request and the business account involved; do not include payment-card details or unnecessary identity documents in the first message.

10. Business users, children, and international processing

PHX Distribution is intended for authorized business users and is not directed to children. Service providers and transaction participants may process information in the United States or other countries involved in sourcing or delivery, where privacy rules may differ from those in your location.

11. Updates and contact

We may update this Policy when the service, vendors, or legal requirements change. The date above identifies the published version. Material changes should be communicated or presented for consent when required.
